Proctor Reference

 

STEP 1: Check-in

Slack #volunteer-checkin

  • Mock Event (Pre-Exam) June 2 and June 3 | 5:30 PM CDT (you do not have to attend both. please select one)
  • Actual Event (Competition) June 5 | 9:30 AM CDT

Find your name on the slack channel #volunteer-checkin and react with emoji to complete check-in.

 

 

 

STEP 2: Check-in at Speed Exam

Log in to SpeedExam system using the provided username and password: http://admin.speedexam.net/

You must attend the training to receive the account.

Monitor the proctor view from 9:30 to 9:59 AM CDT (5:30 – 5:59 PM CDT on June 2 or June 3)

At the dashboard, locate the Exam Monitor

 

 

STEP 3: Check Student IDs

Check the student IDs starting from your designated students first. You may see the list of the assigned students in the #grade-x channel.

  • 3.1 In Slack: Click the 2-eye emoji to show that you are working with the student.

  • 3.2 In SpeedExam: Click on the student picture in the proctor view to see the student picture and live video.

  • 3.3 Conversation: A student will have his/her ID show. You will check the name, and his/her identity.
    Use the chat to confirm the student:
    “Your ID is verified. The competition will start at 10 AM CDT.”

 

Camera angel: The student should be in the center of the screen. The proctor should be able to see the students face and most of the upper body
  • After the ID check, close the page and go back to the slack to add the green check-mark to the student.

See how you react the emoji related to student, two-eyes and then green check-mark.

*If there is no conversation, or you cannot talk to the student thru the chat, mark the red dot in slack, add the comment, and move to the next student.

  • Repeat this step to check the designated students.

Note that Students will be assigned to you on the exam day in the slack channel. (Same on June 2 and June 3)

Cut Off / Late Check-in

The check-in process starts at 9:30 AM on June 5.

10AM is the starting time to allow students take the exam.

Students who come in late after 10:10 AM will not eligible to take the exam. You do not need to check the IDs of those students.

STEP 4: Start the competition (a.k.a Confirm Identity at 10 AM)

 

At 10:00 AM CDT, you will allow the students to take the exam by clicking “Confirm Identity”

*If there is no conversation, or you cannot talk to the student thru the chat, mark the red dot in slack, add the comment, and move to the next student.

 

 

 

 

STEP 5: Monitor

 

Monitor students using proctor view or list view. Focus on the students on your list.

During the exam,
In Proctor View, pin the designated students and watch them from live video regularly.
In List View, focus on the designated students and open the live video to monitor them.

 

Reporting the disqualification

In Slack, mark the cross mark on the student and put the comment of disqualification.
If you are not sure about the situation, please contact Tina in the Slack or post your situation in the #competition channel.
When there is a protest, the judges will replay the recorded video to review the footage.

  • Camera angel: The student should be in the center of the screen. The proctor should be able to see the students face and most of the upper body
  • Before 10:00 AM, Students are allowed to leave after they verify their ID
  • Accurately identify the student by photo ID (name and picture)
  • If the students are 5-10 min late, you will still allow the students to take the exam following the same checking in process.
  • Do not make copies or screenshots of the student’s ID
  • No one should enter or exit once the testing starts.
  • No materials, calculator and other browsers are allowed during the exam process.
  • Do not terminate any exam if cheating behavior is observed. Take notes and report the name later.
  • We will allow the students to retake the exam
  • There shouldn’t be any questions about the actual exam question

Reporting unexpected issues

If you observe some issues and would like to discuss with lead proctors, please use #general channel for the discussion.

Network Issue

Our system will show in the report that students disconnect and resume the exam. If you notice the disconnection, please put the red dot next to the student name with the comment “disconnected/re-take”.
